Understanding the role of a CRN in childcare enrolment

When enrolling your child in childcare, especially with a provider like Sanctuary Early Learning Adventure, one of the key components in securing the Child Care Subsidy (CCS) is your Centrelink Customer Reference Number (CRN). Both you and your child need a CRN.

The CRN allows Sanctuary to link your enrolment to Centrelink’s system, enabling them to submit CCS enrolment notices. This step is essential to ensure that your childcare fees are reduced by the government subsidy you’re entitled to. Without a CRN, your enrolment cannot be finalised in the Centrelink system, and you will be required to pay full fees until your CCS is approved.

After your tour: what happens next?

Following your tour, you’ll receive an Enrolment Pack which includes:

  • Sanctuary’s Family Handbook
  • An Enrolment Form & Booking Form
  • A copy of the Sanctuary Philosophy
  • All About Me & My Culture forms
  • Information about the billing and parent portals
  • A copy of our current seasonal menu. 


If your child has allergies, a Medical Risk Minimisation Plan will also be provided.

Completing the Enrolment & Linking to CCS

Once you’ve completed your tour and decided to proceed, the enrolment process truly begins. This stage is where your administrative details are linked to government systems to ensure your entitlements like CCS are activated. Sanctuary’s team supports families through each step, making the process as smooth as possible.

Below is a step-by-step outline of how your enrolment connects with your CRN and how your Child Care Subsidy gets applied.

  1. Complete Your Forms: Return the completed Enrolment Form and Booking Form with a copy of your child’s birth certificate and current immunisation record.
  2. Provide CRNs: Submit both your CRN and your child’s CRN to the centre. Sanctuary will use these to initiate a CCS enrolment through Xap, their childcare management system.
  3. CCS Enrolment Creation: Sanctuary enters your information into Xap and submits the CCS enrolment. You’ll receive a notification in your MyGov account to confirm the details.
  4. Confirm in MyGov: Log in to MyGov, review the enrolment details submitted by Sanctuary, and confirm them to activate your CCS.
  5. Secure Your Spot: Families pay two weeks of fees upfront and a one-time $50 enrolment fee. Direct debit is set up via Xap to manage future payments automatically.

– Sanctuary requires at least one permanent booking day.

– Weekly invoices are sent via Xap every Monday.
